Operational Policies



Credits, Bookings, & Expiration 

Bi-weekly Subscriptions 

For plans with a limited number of credits per billing period, all credits must be used within the billing period. Credits cannot be rolled over to the next billing period. 


Bookings can be made outside the active billing period. If the subscription is cancelled or the payment method on file fails... 


Credit Packages 

  • Drop-in Trial: Credits must be used within 7 days of the first booking. 
  • 10-Pack: Credits must be used within 3 months of the first booking. 
  • 20-Pack: Credits must be used within 6 months of the first booking. 
  • 40-Pack: Credits must be used within 6 months of the first booking. 


Clients can only book classes if they have credits available. 


Late Arrivals 

Please arrive during your scheduled booking window for Open Gym and up to 20 minutes prior to the start of any Group Training Class. No latecomers will be admitted into the space, to ensure respect, safety and the best training experience for all your fellow members. 


  • Open Gym arrival/entry must be within the period booked. 
  • Group Training must arrive no later than 5 minutes from start of class. 
  • Private sessions must arrive no later than 15 minutes from start of session. 

 

Cancellations & No Shows 

Bookings may be cancelled online or through the app only. We are unable to process cancellations by phone or email. Please keep track of your bookings, as missed or late cancellations may result in lost credits or charges to the card on file. 

 

Cancellation Notice Periods 

Open Gym & Group Training: 8-hour notice required 

Private Sessions: 24-hour notice required 

 

Early Cancellations 

Cancellations made outside of the notice period incur no penalty

 

Late Cancellations 

(Cancellations made within the notice period) 

 

Unlimited Subscriptions: $5 + tax charge for Open Gym and Group Training bookings 

Credit Subscriptions or Packages: $5+ tax charge or loss of credit 

Private Sessions: Loss of session 

 

No-Shows 

(Failure to attend after the booking window or class has started) 

 

Unlimited Subscriptions: $10 + tax charge 

Credit Subscriptions or Packages: Loss of credit 

Private Sessions: Loss of session 


Waitlists 

If an Open Gym Entry booking window or Small Group Training class is full, you may join the waitlist to receive an email notification if a spot opens. If a spot opens, it becomes immediately available to all members and is filled on a first-come, first-served basis. 


Guest Passes 

You are required to provide a name and email address for each guest at the time of booking. All guests must complete a liability waiver before training. 


The same guest may visit multiple times, provided a valid guest pass is used for each visit. You do not need to accompany your guest on their visit. 


Guest passes do not roll over and must be used within the applicable period. 


Facility Etiquette & Conduct 


Phone Use on the Floor 
Please keep phone use to a minimum while on the training floor. Phones may be used for music, timing, or tracking workouts, but extended calls, filming others, or prolonged scrolling should be taken off the floor to avoid disrupting fellow members. 


Equipment Sharing 
Our capacity-controlled model is designed to prevent overcrowding. If there’s ever overlap on equipment, we appreciate members being flexible and respectful by sharing or alternating as needed. 


Wiping Down Equipment 
Please wipe down all equipment after use using the provided cleaning supplies. This helps keep the space clean, safe, and enjoyable for everyone. 


Clean Up After Use  
Please make sure to put all the weights and/or accessories like handles and bands back after use. 


Only Approved Coaches Allowed 
To ensure the safety, quality, and integrity of our training environment, only coaches approved by The Cellar Athletic Club may provide instruction within the facility. Outside or unapproved coaches are not permitted to train clients on-site. 


Respectful Behaviour 
We expect all members to treat staff and fellow members with respect. Harassment, unsafe conduct, or disruptive behaviour will not be tolerated and may result in removal from the facility or suspension of membership. 


Rogue Racks During Peak Hours 
During Peak hours the Rogue Rhino squat racks will be in use for our Small Group Training. 


Dry Chalk Only  
Please do not use any liquid chalk. It is harmful to our machines. Dry chalk should be contained in the functional room close to the lifting platform. 


Control Your Noise  
Training hard is fine. Excessive yelling, slamming or dropping weight unnecessarily isn’t.   


Respect Personal Boundaries   
No unsolicited coaching, staring or interrupting someone mid-set.   

Personal Belongings & Dress Code 


No Outdoor Shoes 
Outdoor shoes are not permitted on the training floor. Please bring clean indoor training shoes and change into them upon arrival to help maintain a clean and safe environment. 


Personal Belongings 
Please store personal items such as bags, coats, and valuables in the designated areas. For safety and space considerations, personal belongings are not permitted on the training floor. 


Appropriate Attire 
Members are expected to wear appropriate athletic attire that allows for safe movement and use of equipment. Clothing with offensive or inappropriate language or imagery is not permitted. 

Unexpected Closures 

In rare circumstances, the facility may need to close on short notice due to unforeseen events such as weather conditions, power outages, maintenance issues, or other safety concerns. When possible, members will be notified in advance via email or posted notices. We appreciate your understanding when closures are necessary to ensure the safety of our members and staff.
